Booking & Cancellation Policy 

1. Deposit & Confirmation

• A deposit of 20% is required to secure your booking, motorcycle reservation, and guide arrangements.
• The remaining balance is payable upon arrival before tour departure.

2. Customer Cancellations

If you need to cancel your booking, the following cancellation fees apply based on the date we receive written notice:

• 30 days or more prior to departure: Full refund of deposit, minus any applicable international bank/transaction processing fees.
• 15 to 29 days prior to departure: 50% refund of deposit, OR a 100% credit applied toward a rescheduled tour valid for 12 months.
• 14 days or fewer prior to departure (or No-Show): Non-refundable, as logistics, accommodations, bikes, and staff are prepaid and committed.

3. Flight Delays & Missed Connections

• If your flight arrives late on the start date, our team will do our best to adjust departure times or arrange road transport to help you catch up with the tour group.
• If your flight is delayed significantly (over 24 hours), we will make reasonable efforts to reschedule your tour subject to motorcycle and guide availability. Any additional accommodation or transport costs incurred due to flight delays remain the traveler’s responsibility.

4. Medical Emergencies & Insurance Claims

• In the event of unforeseen illness, injury, or emergency cancellation, we strongly remind all riders to hold comprehensive personal travel insurance covering motorcycle activities.
• We will gladly issue formal cancellation invoices and confirmation documentation to support your full reimbursement claim with your travel insurance provider.

5. Tour Cancellation due to Force Majeure

Vietnam Wild Ride reserves the right to cancel or shorten a tour due to Force Majeure events beyond our control (such as natural disasters, severe weather, road landslides, political instability, or public health emergencies). In such events, guests may choose to reschedule the tour at no extra charge. If rescheduling is not possible:

• If the tour is cancelled prior to departure:We will issue a full refund of all amounts paid, including your deposit, minus any non-recoverable operational costs already incurred (e.g., border permits or non-refundable bookings).
• If the tour is cancelled or interrupted mid-trip:We will calculate a pro-rata refund for the unused days of the itinerary, minus actual operational expenses incurred.

Please note that Vietnam Wild Ride is not liable for any third-party travel expenses incurred by guests, including flight tickets, external hotel reservations, or personal travel insurance.
